Summary of Position:
The Account & Title Maintenance Specialist will process new account applications as well as maintain account updates as requested. This position will also work with our CFS department in addition to sales reps for proper account coding, maintenance approvals, and terms updates. The Specialist will create new title set ups, update pricing for ISBNS, and enter various change requests for titles.


Schedule: Monday - Friday 8:30am-5:00pm.

Primary responsibilities include, but are not limited to:

Account Maintenance:

  • Responsible for accurately establishing new accounts within UOPS
  • Coordinates with client groups, RPM, and Brandwise for proper paperwork and account set up
  • Responsible for updating billing and shipping addresses with proper approvals from CFS Reps
  • Hardcodes accounts with appropriate discount classes and dating terms
  • Updates packing list preferences, back order time limits, and credit reps as requested
  • Examines all tax paperwork to comply with the 7-point system
  • Initiates account closures by requesting approvals from upper management and CFS Reps
  • Scans all account applications in proper database for filing purposes
  • Work with customer service to receive updated tax documents, billing address requests, and orders if needed
  • Initiates freight routing set up through transportation for freight forwards and other special accounts
  • Maintains account records and stats for all account updates
Title Maintenance:
  • Responsible for updating title statuses in both TMM and UOPS
  • Creates price points for reprints, updates NYP pricing, and ensure prices have fed to both systems
  • Creates prepacks as requested, while retrieving correct ISBNS from clients per imprint
  • Sets up non-merch items with proper merch type and coding
  • Updates edition codes in addition to retrieving approvals to make edition code and division changes
  • Updates carton quantities, author names, and POD indicators for titles
  • Changes on sale and release dates in addition to removing them completely as requested
  • Establishes prefixes for new ISBNS being entered in the system
  • Responsible for updating US territory rights in TMM
  • Ensures updates are made and fed through all systems in the ISBN is entered within
Other:
  • Document and develop processes as needed
  • Interact frequently with customer services and sales reps to resolve issues and gather information
  • Create queries from Excel and Access to run required reports
  • Run and create macros for mass title and account maintenance updates
  • Manage restrictions table (Account of title level)
  • Other duties as necessary
Qualifications:

Required knowledge and experience:


  • HS Diploma, college degree preferred

  • Analytical ability in relation to Order Processing / Order Management systems

  • Excellent attention to detail

  • Flexible

  • Excellent data entry skills

  • Good communication skills (written and verbal)

  • Software/hardware experience (Microsoft Excel, Word, Outlook, Access), Internet, UOPS, Order Mangement, Inventory Management, Reservation System, Cognos & SQL
